How to assess a Learning Agreement (LA) submitted by a BUas student?

Objective: Assessing a submitted Learning Agreement (LA) and sending it via Erasmus Without Paper (EWP)
For Whom: International coordinator at the academy who is authorised to assess and sign LA's.

Logging in to Osiris Back Office at campus vs off campus (home or elsewhere)

To log on the Osiris Back Office in which module LA's can be assessed and signed follow the following steps:

  • Open the Employee Portal
  • Choose [All Applications]
  • When working at BUas campus choose [Osiris Basis On-campus only] and continue at Home screen in Osiris Back Office
  • Working at home or elsewhere, first choose [Citrix], and continue at the next step

Log on to Citrix when working home or elsewhere

  1. Click [Buas@Work] - this logo will be showing in the taskmanager in your screen
  2. Click the Startmenu logo
  3. Click  [All >]
  4. Choose [Osiris Back Office], then choose the right account and password and use the authenticating method. Before the first time using this at home try this at the campus, ask the key-user for help if necessary.

At the far right of the green bar at the top of the screen you see under which academy you are logged in and a few tiles:

  • Message of the day, showing information about the next updates
  • Referral to Osiris work instructions
  • Tile showing Learning Agreements Outgoing students / Incoming students

On the home screen of Osiris Back Office you can see whether there are submitted LA's for your academy that need assessment.

Date and time of the last update, click on round arrow to refresh.

Outgoing students
Concept             - number of Learning Agreements students have saved but not submitted, the are still finalising the LA
Submitted           - number of complete Learning Agreements needing assessment
Rejected            - number of LA's rejected by us - student needs to adjust and submit again
Approved         - number of LA's rejected by us - partner needs to assess
Rejected by partner - number of LA's rejected by, student needs to adjust and submit again

Click on the 'submitted' row to navigate to the LA's that need to be assessed.

N.b.: at this moment there is a bug in the numbers. An approved LA is still counted as submitted. This will be solved in one of the following releases - we expect it to be solved by the end of April.

  1. Check the box "Filters"* if this is not checked.
  2. 'Status' of the Learning Agreement used as search filter, results are shown on the right. This is standard set to "Submitted"
  3. Under 'View' > 'Columns' you can choose to see extra information, such as '(Name of) selected institution'
  4. Student who submitted the LA that needs to be checked
  5. Stay abroad process (Exchange) the student applied for
  6. Degree programme the student is enrolled in. It is possible to search for a specific degree programma only. Use filter
  7. This is the partner institution where student is going
  8. Here you see the Status and Decision of the stay abroad process, in this example still 'in progress' (until TOR has been received and processed), the student has 'conditional approval' to go abroad. This status should not be confused with the status of the Learning Agreement.

Click  [>] at the beginning of the row of the stay abroad request for which the LA can be processed.

* If necessary this can be changed under Personal configuration - Osiris Application/Study abroad, check werkinstructie for explanation (Dutch only).

Student - Learning Agreement (abroad) (2.1.119) will be opened

This is the Learning Agreement with information copied from the exchange application and filled out by the student. The information needs to be checked.

  1. The LA always belongs to a specific exchange application where the student has been selected. Pay attention to the start date and academic year. It may be that the start date is in the current academic year, but the exchange period largely falls in the upcoming academic year. This can be adjusted here.
  2. Language proficiency provided by the student - check if this is sufficient;
  3. Exam component from the BUas exam program that is replaced by courses abroad, note that ‘points recognized’ are copied from the exam program component, this can be adjusted here if necessary (usually 30 ECTS).
  4. Under this tab, you will find the courses that the student will follow at the partner institution. This needs to be checked to see if it is approved / at the correct level, etc. Under period you will find either semester 1 or 2, referring to first or second part of academic year
  5. Internal notes, here you can add a note, only for yourself or for colleague (BUas) staff members, this is not shown to the student or the partner. You can type the note here and save it using the [Add] button. And [Save] The note is recorded with the date, time, and name of the staff member.
  6. After this, an LA can be approved (continue at 1. Approving a submitted Learning Agreement (LA) and (via EWP) send it to the partner institution) or rejected (continue at 2. Rejecting a submitted Learning Agreement and returning it with a comment to the student).

If everything is found to be in order and the LA can be approved, the right contact person authorized to sign the LA's must be added. Add the appropriate contact person within BUas, depending on the program / incoming or outgoing students.

Choose [Actions - Approve Learning Agreement]

  1. After you have added the correct contact person - choose [Actions - Approve Learning Agreement].
  2. A warning will appear on the screen - choose [Yes] if the LA is in order.
  3. The approved LA can now also be made available as a PDF to the student, choose [Actions - Generate and upload LA].

Note! This approval triggers the following actions:

  • For EWP partners (KA 131 contract), the LA is now sent directly via EWP.
  • Additionally, a ‘status update LA’ message is sent to the student, informing that the LA has been approved by us. If a comment has been made under ‘comment’, it will be included in the email to the student. The student receives a message for each status update of the LA (approval or rejection).
  • If it concerns a non-EU (non-EWP) partner, a PDF is created and stored under documents for the student. The student can download the PDF in Osiris student and send it to the partner for signing. This PDF can also be found in Osiris lecturer under “Documents” for the respective student.
  • Even if it concerns a partner under the KA131 contract, it may be that the partner is not yet connected to the EWP network. In that case, the student must be able to download a PDF to send to the partner for signing. Link to file with partner overview.

LA approved by mistake? Once the LA has been approved, we can no longer change the status to ‘rejected’. The only solution is to adjust the comments with what the student needs to change and email the ‘Partner contact person’ requesting them to reject the LA on their end. 

2. Rejecting a submitted Learning Agreement and returning it with a comment to the student

If the LA submitted by the student is not deemed satisfactory, you can return it to the student using the action [Reject Learning Agreement]. It is useful to add the name of the contact person (International Coordinator = the person who signs the LA), so the student can see this in Osiris Student (and contact them for more information if needed).

If you are sure choose [Yes]. The student will now receive an email with a ‘status update of the LA’ in which the comment entered under ‘Comments’ is included. The student can now adjust the LA and resubmit it. Once the student has resubmitted the (adjusted LA), you can follow this work instruction again from Home - Learning Agreements

Student submitted a "Changes proposal"

If a student adjusts and submits a previously created and approved Learning Agreement (LA), it will appear in the tile on the homepage under 'submitted'. The processing is done the same way as with the first version. Here you'll find a few differences to the first version:

  1. Here, you can see the different versions of the LA, with the most recent one to be processed appearing at the top.
  2. By clicking on ">", you can view the history of the Learning Agreements. Click on [close] to close this screen again.
  3. Here, you can find the type of Learning Agreement and the status of the LA. When an LA is approved by both parties, it becomes 'Final' and the type changes from 'change proposal' to 'first (or 2nd...) version'.
  4. Here, you can see what has been changed and the reason for the change. You can also see whether a course has been added (new) or removed (deleted).
